What we collect

To run your school's daily teaching routine, the app holds, for each teacher: name and staff code, subject and department, contracted teaching load, the hours you are normally in the building, and your weekly timetable. It also records absences, who covered which class, and short notes on a period.

For editors (the coordinators who run the routine) it holds the login email and password, and a log of who changed or published what, and when.

We do not collect student names or student rosters.

Why, and on what basis

Every field above is used only to generate the routine, find valid cover for an absence, and show teachers their day. This is data your school already holds and needs to operate; we process it on your school's instruction as its service provider.

Who can see it

• Teachers see the published routine for their own school at …/today — no login. This is the digital version of the routine on the staffroom wall.
• Coordinators see and edit their own school's routine after signing in.
• The principal sees status and teaching-load summaries across the schools in your group.
• One school's editors cannot see another school's data.
• MCQPlexTech can access the database to take backups and keep the service running.

Where it is stored

• Database and logins: Supabase (PostgreSQL), project region [to be stated]. Encrypted in transit and at rest.
• App files: Cloudflare (no personal data in the files themselves).
• Backups: Cloudflare R2, kept 30 daily and 12 monthly copies, then deleted.

The optional AI feature

The app can ask Google's Gemini AI (servers in the USA) to suggest cover for a hard-to-fill slot, or to read plain-English staffing rules. When used, it sends staff codes, subjects and period counts — and, for rule-reading, the wording you typed plus a teacher's full name only if your wording names them.

• It is off unless an editor turns it on and agrees to a consent screen that names Google.
• Your unit can turn it off entirely in Settings → Integrations.
• Nothing is sent to Google in the background — only when an AI button is pressed.

Keeping and deleting data

Routine history builds up over the year. A coordinator can archive and remove a past year, or anonymise a teacher who has left (their name and hours note are cleared; historical entries keep the staff code so past routines still read correctly), both from Settings → Data & backup. You can ask for a copy of your school's data at any time. Contact: [support address].
